Planning an event doesn’t have to be chaos. Whether it’s your first time using Hybridley or you’re back for round two, this checklist will help you launch smarter, faster, and with less stress.

No fluff, no filler—just what you actually need to get your event up and running.


✅ 1. Create Your Event Page

Start with a clean foundation.

  • Give your event a clear name and subtitle

  • Add event dates, timezone, and location (virtual or physical)

  • Upload your header image (or use a downloadable template)

  • Add your logo and brand colors

Pro tip: You can always update this later, so don’t get stuck in pixel perfection.


✅ 2. Build Your Registration Flow

This is where people start their journey.

  • Set up your registration form

  • Require first name, last name, and email (plus company if using name badges)

  • Add custom fields like role, organization, or dietary restrictions

  • Use group tagging (virtual vs. in-person, VIPs, speakers, etc.)

  • Turn on confirmation emails with clear instructions

Clean data = smooth check-in.

  • Assign each attendee to a Group (Virtual, In-Person, Staff, etc.)

  • Sort by name, or role for easier badge printing and segmentation

  • Manually add late sign-ups if needed

  • Use the attendee filters to quickly find people


✅ 4. Set Up Name Badges (if In-Person)

Make check-in look like you’ve done this before.

  • Upload your custom badge design

  • Choose from pre-formatted Avery 5392 templates

  • Test print on standard paper using a regular color printer

  • Use clear badge holders and lanyards from any vendor you like

  • Print in bulk or one-off, no alignment stress

Reminder: Badges only generate for in-person attendees, so nothing gets wasted.


✅ 5. Create Your Schedule or Content Pages

Start building what people came for.

  • Add sessions or segments with time, description, and speaker info

  • Embed livestreams, PDFs, or videos directly into pages

  • Use groups to restrict access to certain content (VIP-only, staff-only, etc.)

  • Enable the “Main Stage” for featured content and key sessions


✅ 6. Enable Notifications

Keep people informed (and reduce “where do I go?” messages).

  • Turn on email reminders

  • Customize event-day updates, access info, or last-minute changes

  • All messages send from noreply@hybridley.com

  • No need for outside email tools or integrations


✅ 7. Test Your Event Flow

Before launch, walk through it like a real attendee.

  • Register using a test email

  • View confirmation email and login experience

  • Navigate the event content and pages

  • Try printing a badge and joining a session


✅ 8. Go Live (and Breathe)

Once everything looks good:

  • Finalize your attendee list

  • Print badges (if needed)

  • Assign staff roles and page permissions
